A small, reusable workflow

Before the booking.
After the last sale.

A calculator answers one question. This kit helps you keep the record for the next booking decision.

01 / BEFORE

Make a realistic plan.

Enter expected orders, your costs, card fees and all your hours. See the orders needed to cover the event and your own wage target.

02 / ON THE DAY

Keep a paper tally.

Print the sales and stock sheets. Record quantities, payment totals and notes without handing a customer’s details to another app.

03 / AFTER

Compare the actuals.

Keep up to 12 event results side by side. Compare contribution, return per hour and your own notes before booking again.

Actual Event plan worksheet showing blank editable inputs, a separate illustrative example and calculation explanations

Actual workbook preview. Examples are kept separate from your blank inputs.

A free single-event sample

Start with one market.

Try the example, then enter your own numbers. All amounts are USD. Use sales after discounts and refunds, excluding sales tax. Inputs stay in this page and disappear when you close or reload it.

Goods cost includes materials and packaging for items sold. Exclude your own labor here to avoid counting it twice. Card fee estimates assume one transaction per card order.

Your event estimate

Contribution before your own labor

—
After allowing for your hourly target
—
Break-even orders before own labor
—
Break-even orders including own labor
—
Contribution per hour before own labor

An event estimate, not accounting net profit. Excludes income tax, unlisted overhead and inventory cash timing. Estimates assume constant order value, goods cost and card mix. Zero or negative contribution per order gives no break-even point.

A few useful details.

What software do I need?

The main file is .xlsx and uses basic spreadsheet formulas. You need an app that opens and recalculates Excel workbooks. Calculations and input changes were checked in a bundled LibreOffice runtime. Excel and Google Sheets have not been tested. The printable sheets and free calculator open in a browser.

Does it track every product or file my taxes?

No. Enter total sales, goods costs and expenses for each event. It does not connect to payment accounts, calculate tax returns or manage inventory automatically. Use your payment provider for actual processing fees and sales reports.

Can I use euros or pounds?

This edition is labeled USD throughout. It does not convert currencies. A separate currency edition may follow if there is demand.

Why is this a download rather than a subscription?

You keep your own file and event history. There is no account to maintain, and the workbook does not send your sales or costs to us.
